The role of Senior Program Coordinator at the University of Miami is a vital position within the designated department, responsible for the comprehensive planning and execution of various events such as meetings, conferences, workshops, seminars, lectures, and other special functions. This full-time, staff position is classified under pay grade A6, and the incumbent will play a crucial role in managing all logistical and operational aspects related to event coordination, ensuring each event proceeds smoothly and meets expected standards.
In this capacity, the Senior Program Coordinator will maintain detailed records concerning facility usage, revenue, and expenses, skillfully scheduling resources and managing vendor relationships to deliver seamless events. They will collaborate closely with executive leadership, including the executive director and managers, to devise event strategies, select appropriate venues, manage catering services, and oversee event budgets, ensuring cost-effectiveness and alignment with departmental goals. The coordinator will also serve as the primary liaison between the university and external vendors, negotiating contracts and monitoring purchase orders through platforms such as Workday Finance.
Moreover, the coordinator will supervise registrations and check-in processes at events, utilizing digital tools like Social Tables for efficient guest management. Part of this multifaceted role includes anticipating and arranging necessary accommodations such as transportation, audiovisual equipment, signage, and promotional materials, while managing staff and volunteers assigned to event duties. The position also demands ongoing communication with faculty, students, staff, and community clients to coordinate space reservations, manage social media outreach, and ensure compliance with university policies.
Additionally, the Senior Program Coordinator will assist the department with administrative duties, including compiling reports, maintaining event inventories, and tracking participant engagement through platforms like Localist. They will provide support for building operations and logistics related to executive education programs, often working flexible hours that may include evenings and weekends to meet event needs.
