The Private Owner Coordinator plays a vital role in the Corporate Services team based in Maryville, TN, operating on a full-time basis with a competitive hourly wage of $17.00. This position is integral to maintaining seamless operations and ensuring that private owners and their families or friends receive top-tier service tailored to their specific needs. The coordinator manages all aspects of communication including handling calls, emails, mail, and faxes efficiently and professionally. A primary responsibility includes managing reservations for rooms, dining, and activities—processing requests promptly and accurately while setting appropriate reminders and maintaining real-time system updates in the Opera reservation system. The role requires a deep understanding of all relevant pricing structures including rack rates, promotional packages, discounts, and special event pricing to assist with billing and reservation inquiries.
This position entails maintaining and updating rental and calendar programs, ensuring all blocked dates and special requests are correctly recorded to avoid conflicts. A thorough knowledge of the resort's history, available activities, and other elements of the Blackberry Farm experience is essential to effectively support private owners. The coordinator assists with organizing special or private events, cultivating positive relationships with owners by meeting and understanding their unique needs, and providing personalized concierge services. Additional tasks include assisting the Private Owner Concierge with reporting and daily tasks, planning Owners-exclusive activities, and supporting owners during home-building processes in the resort community. This role demands high-level organizational skills, exceptional telephone and computer proficiency, strong judgment, and the ability to multitask effectively by managing calls and computer work concurrently. The position requires consistent attendance, compliance with company policies, and teamwork among fellow employees and management to uphold the resort’s exceptional service standards. The Private Owner Coordinator serves as a crucial liaison between the private owners and the resort, ensuring all needs are met with efficiency, professionalism, and the warmth characteristic of Blackberry Farm's legendary hospitality.
