Currently, the Phillip and Patricia Frost Museum of Science seeks a full-time Event Operations Coordinator to join its Guest Experience Department. This critical role reports directly to the Director of Event Sales and Operations and is classified at the P2/4 grade level. The Event Operations Coordinator plays a key part in ensuring the smooth execution of events hosted within the museum’s various spaces. The role involves acting as the central point of contact for coordinating complex logistics involving multiple internal departments as well as external clients and vendors, guaranteeing seamless event delivery and exceptional guest experiences. The Event Operations Coordinator will be responsible for managing every detail pertaining to event rentals, working closely with the Sales Department to translate client needs into actionable event orders and operational directives. The position demands exceptional organizational capabilities, proactive communication, and a problem-solving mindset to meet the fast-paced and dynamic requirements of museum events. Additionally, the Event Operations Coordinator will coordinate with various museum departments including catering, security, guest services, and audiovisual teams to ensure thorough preparation and execution of events that range from intimate gatherings to large-scale public-facing programs. The role also involves conducting pre-event and post-event meetings as agreed upon with clients to maintain clear communication channels and uphold service excellence. The successful candidate will have at least two years of relevant work experience, preferably with a background in hospitality management or event coordination. Proficiency in Microsoft Office applications is necessary, and familiarity with specialized hospitality industry software is considered an advantage. Candidates should demonstrate strong organizational skills, excellent verbal and written communication abilities, and a capacity to prioritize multiple tasks under pressure while maintaining a customer-focused attitude. Physical stamina is also essential for this role. The coordinator must be prepared to work flexible hours including nights, weekends, and holidays, standing for extended periods, navigating museum spaces quickly to resolve issues as they arise, and handling physical tasks associated with event setups such as lifting and moving equipment.
