The Conference Manager role is a vital position within Gartner's newly established Center of Excellence, dedicated to the seamless onsite execution of Gartner’s must-attend conferences. This role focuses on managing onsite staffing operations to ensure that each event is staffed adequately, delivering best-in-class service to attendees. The Conference Manager will serve as a critical liaison between Gartner Conferences and external staffing agencies, overseeing the staffing needs and training processes to maintain a consistent and high-quality conference experience. Working closely with multiple stakeholders, the Conference Manager will design staffing strategies tailored to each event’s unique requirements, review service models, and implement training programs to enhance staff performance and attendee satisfaction.
In addition to strategic responsibilities, this position includes the operational management of monthly budget forecasts and future year staffing budgets, ensuring financial efficiency and accurate resource allocation. The Conference Manager will lead pre-event coordination calls, manage relationships with staffing agencies, and conduct quarterly feedback sessions to optimize the partnership and onsite support. Furthermore, the role entails providing onsite support at larger conferences and symposiums, acting as the onsite staffing manager responsible for overseeing logistics, quality control, and continuous improvement initiatives driven by feedback and performance metrics.
Expertise in event technology is essential for this position, specifically knowledge of Intrivium—the shift scheduling app used to manage staffing shifts and coordination. The Conference Manager will serve as an internal expert and trainer for this platform, monitoring shift setups, ensuring compliance with guidelines, conducting utilization reviews, and recommending staffing adjustments based on data-driven insights. This role requires a strategic thinker with strong financial acumen, exceptional interpersonal and communication skills, and a passion for delivering exceptional event experiences.
The employment type is full-time, with a base salary range estimated between 69,000 USD and 107,000 USD, depending on qualifications, experience, and location.                 - Bachelor’s degree with focus on events and/or marketing preferred
 - 4+ years of experience in project management, staffing coordination, or a related field
 - Strong organizational and communication skills
 - Proven experience in managing agency and vendor partners
 - Proven people management experience
 - Strong interpersonal and relationship building skills especially with senior level professionals, cross-functionally and with agency partners
 - Creative, innovative and strategic thinker with a strong attention to detail
 - Strong financial management skills
 - Partnership with an event technology vendor is preferred but not essential
 - Willingness to travel approximately 15-20% to attend Gartner Conferences and manage onsite staffing operations
