We are currently seeking an enthusiastic and skilled Administrative and Events Assistant to join our dynamic team. This full-time role is designed for a candidate who brings experience in hotel operations coupled with a strong passion for customer service. The successful candidate will be deeply knowledgeable about the property’s rich offerings, ensuring that guests and employees alike receive well-informed and warm support.
The Administrative and Events Assistant plays a vital role in managing and supporting hotel operations, particularly focusing on events and administrative tasks that facilitate smooth day-to-day functions. Key responsibilities include overseeing onboarding processes across various hotel departments, assisting with payroll, and working closely with the accounting department for order facilitation and vendor payments. The role also requires diligent cash control and maintenance of active sales files using company systems.
An important aspect of the position involves entering and updating event and group data into the Property Management System (PMS), demonstrating the candidate’s organizational skills and attention to detail. The Administrative and Events Assistant will serve as the primary customer service contact for clients with active accounts, ensuring professional communication and effective resolution of inquiries. Coordination with other departments regarding group files, billing, and internal communication is essential to deliver seamless service.
Proficiency in Microsoft Office is a must, as these tools will be used daily for documentation and communication. Additionally, excellent phone etiquette and writing skills are crucial for effective client interaction and team collaboration.
The role is not solely administrative; it includes physical aspects such as setting up and breaking down tables and chairs for events, and may require standing for extended periods, stair climbing, as well as lifting, pulling, or pushing items up to 20 pounds. The Administrative and Events Assistant is expected to be self-directed while also being able to take and give clear directions from supervisors and peers. The position typically includes working some nights and weekends, with scheduling coordinated closely with the General Manager and Director of Events.
