The Receptionist Supervisor role at Inland Valley Veterinary Specialists carries significant responsibility in maintaining courteous and efficient client service at the hospital. This full-time, day shift position requires leadership and hands-on involvement, overseeing the reception team to ensure smooth front desk operations. The supervisor is essential in managing client interactions, handling payments, overseeing scheduling, and providing direct receptionist support when necessary. This role is designed for an individual with strong communication, multitasking, and organizational skills who is adept at managing staff and resolving conflicts with professionalism and care. The Receptionist Supervisor supervises the receptionists by hiring, evaluating, and enforcing hospital policies. They develop staffing schedules that align with hospital needs, provide backup when receptionists are unavailable, and address client complaints, escalating complex issues to the Hospital Manager. Financial management duties include overseeing specialist scheduling, processing refunds and payment plans, generating billing statements, assisting with collections, and preparing end-of-month financial reports. In addition to these administrative and supervisory tasks, the supervisor supports the Hospital Manager in building maintenance activities as a backup, ensuring the hospital environment remains safe and well-maintained. This position demands experience with financial reporting, end-of-day reconciliations, conflict resolution, and proficiency with the hospital’s practice management software, Cornerstone. Familiarity with veterinary terminology and protocols is also important, as is a customer service mindset and the ability to work effectively within a team. The job schedule typically covers Sunday through Wednesday with flexibility to accommodate training and meetings.
