HireArt is collaborating with a fast-growing financial software startup to find a dedicated and professional Office Coordinator. This startup is recognized for its dynamic environment and innovative approach to financial software solutions, providing a collaborative workspace where employee experience is a priority. As an Office Coordinator, you will be integral to maintaining a smooth-running office and enhancing the overall work environment for all employees.
The Office Coordinator role serves as the first point of contact for employees, guests, and job candidates, primarily managing the front desk reception area. This position demands professionalism, confidence, and excellent communication skills to create a polished and welcoming atmosphere that reflects the company values and culture. Beyond front desk responsibilities, the role involves a variety of office management tasks designed to support employees and maintain an organized, efficient workplace.
Key responsibilities include managing front desk operations and vendor relationships, owning the Envoy guest management system, and coordinating office events such as Company Days. The Office Coordinator will handle timely navigation of employee requests, questions, and complaints independently, demonstrating resourcefulness and adaptability. Collaboration with the Onboarding Team ensures new hires have a seamless introduction to the office, including preparing desks and managing access credentials through control access systems.
The role also involves liaison duties with building management to communicate keycard requests, manage service and maintenance issues, and disseminate information about building events to employees. Additionally, the Office Coordinator assists with brand merchandise distribution and manages mail and package receipt processes. Ensuring the kitchen pantries are stocked and partnered catering vendor services are organized three times a week is central to creating a positive office experience.
The position includes responsibilities such as opening and closing tasks for the office, restocking restrooms and printing stations, and taking on ad-hoc administrative duties as needed. Ideal candidates will have over two years of office coordination or administration experience, exhibit exceptional communication and organizational skills, and be proactive and adaptable problem-solvers. Basic IT knowledge is advantageous.
This is a full-time, six-month contract position based onsite in Seattle, WA, staffed through HireArt. Candidates must provide proof of full COVID-19 vaccination as part of company policy.
