The position available is a Front Desk Guest Services Representative, a vital role responsible for the initial impression guests have of the hotel. The representative serves as the first point of contact for visitors, greeting them warmly upon arrival with a sincere and friendly welcome. Using a positive and clear speaking voice, the individual listens carefully, understands guest requests, asks relevant questions to clarify needs, and responds appropriately to provide accurate information about hotel amenities, outlet hours, and local attractions.
Key responsibilities include managing the registration and checkout processes efficiently. This involves handling moderately complex computer systems to input and retrieve guest information accurately. The representative confirms essential details such as the number of guests, length of stay, and room rate, offering an appropriate selection of rooms aligned with guest preferences. They are responsible for coding electronic room keys, confirming room numbers and rates non-verbally, and providing welcome folders including room keys and any certificates or coupons as applicable.
The role also involves financial transactions such as verifying and imprinting credit cards for authorization, managing cash transactions, making change, and balancing assigned house bank accounts. They must also accept alternative payment methods like vouchers and travelers' checks, performing accurate arithmetic using a calculator. Posting charges to guest rooms and house accounts through the computerized system is also part of the daily routine.
During checkout, the representative closes guest accounts, ensures all payments are accounted for appropriately, and ascertains guest satisfaction by offering a standard comment card. They are expected to handle guest dissatisfaction with tact, negotiating compromises that may include revenue allowances. Communication skills are paramount, as the role requires answering telephone calls promptly and courteously within three rings, managing messages via the computer system, and facilitating guest communications by retrieving mail, packages, and fax transmissions.
The position demands strong problem-solving skills, as the representative must handle guest complaints thoughtfully by conducting thorough research to determine effective solutions. Remaining calm during emergencies and busy periods is critical, requiring experienced judgment and discretion to manage various situations effectively.
Additional supportive duties may include summoning bell service to escort guests, managing safety deposit boxes, operating fax machines and photocopiers, and occasionally performing related functions in other guest service areas such as PBX operation and concierge services. Flexibility is essential due to the cyclical nature of the hospitality industry, meaning the representative may be required to work varying schedules based on business needs.
