The Lead Receptionist & Mail Coordinator role at Utah Legal Services is a full-time, non-exempt position that involves providing comprehensive leadership and operational oversight for reception and mail services across multiple ULS offices, including Ogden, Salt Lake City, Saint George, and the primary front desk at the Provo office. This leadership position requires managing and guiding receptionists across the organization to maintain consistent, professional, and efficient front-desk operations that create a welcoming environment for clients, visitors, and internal staff. This role includes responsibility for training new reception staff, coordinating schedules to ensure proper coverage at all locations, and acting as a liaison between reception personnel and management. 
In addition to front-desk leadership, the Lead Receptionist & Mail Coordinator oversees all mail processing activities, ensuring legal mail is handled urgently and securely to meet critical deadlines. They supervise mailroom employees, facilitate the sorting, logging, scanning, and distribution of incoming and outgoing mail, and train staff on the use of mail processing equipment such as postage meters and scanners. This role also includes coordinating with external couriers for package deliveries and managing supply orders related to office and mailroom needs.
The daily responsibilities include opening and closing the reception area, maintaining a clean and well-stocked environment, warmly greeting clients, answering and forwarding phone calls courteously, and supporting staff with administrative tasks like filing, photocopying, scanning, and data entry. The Lead Receptionist & Mail Coordinator must uphold stringent confidentiality and discretion standards, especially when handling sensitive client information and legal documents. Strong organizational skills, the ability to prioritize tasks, and excellent verbal and written communication skills are vital for success in this role. Fluency in Spanish is preferred but not mandatory.
