The administrative support specialist will provide comprehensive assistance to the Office of the Mayor by handling a variety of administrative and legal tasks. Duties include managing correspondence, maintaining calendars, organizing office files, and preparing detailed reports and spreadsheets. The role is highly collaborative and necessitates frequent interaction with staff members, elected officials, government employees, and the public. It also involves maintaining control over office inventory, processing mail and communications, coordinating travel arrangements, and assisting with personnel administration such as payroll and record-keeping.
In addition to core administrative responsibilities, this position requires preparing and managing budgets, monitoring expenditures, reconciling purchasing card transactions, and handling petty cash accounts. The employee will also assist in coordinating office communications and ensuring the smooth operation of departmental activities, thereby contributing to the overall efficacy of the Mayor's office. A thorough understanding of local, state, and federal legislation, as well as departmental policies and procedures, is necessary to perform this job successfully.
Candidates for this position must possess an associate degree in Secretarial Science or a related field, coupled with at least four years of progressively responsible administrative or executive experience. Alternatively, a commensurate combination of education, training, and experience that equips the applicant with the necessary knowledge and skills will be considered. Valid possession of a driver's license and the ability to obtain or hold a Notary Public status are mandatory. The physical requirements of the job are comparable to sedentary work but involve some movement and the use of office machinery. The ideal candidate will demonstrate strong interpersonal communication skills, the ability to handle confidential information with discretion, and the capability to manage multiple priorities efficiently.
