The role of the HR Executive Assistant at HHSC is a vital position that provides high-level administrative support to the Vice President and Chief Human Resources Officer (VP & CHRO). This full-time, permanent position demands exceptional organizational and multitasking skills, as it entails coordinating multiple concurrent activities, managing sensitive and confidential information, and facilitating seamless communication between the VP & CHRO and various internal and external stakeholders. The position is located onsite at HHSC headquarters in Honolulu, Hawaii. The HR Executive Assistant is primarily responsible for organizing and facilitating numerous critical meetings, including those involving the Regional Chief Human Resources Officer (RCHRO), Personnel and Compensation committees, and Board-related affairs. This requires preparing comprehensive agendas, gathering and managing necessary documentation, taking minutes, and overseeing video teleconferencing logistics. The role demands a keen sense of prioritization to ensure meetings are scheduled effectively, and that minutes and documents are distributed promptly for review and decision-making. Further responsibilities include managing the VP & CHRO’s complex calendar and scheduling all appointments thoughtfully to optimize time and accommodate urgent matters as they arise. The Executive Assistant also handles communication with employees, partners, and other stakeholders, responding promptly to inquiries and coordinating sensitive correspondence with discretion. Financial administrative duties such as compiling and processing expense reports, managing invoices, and maintaining office filing systems are also key components of the job. This position requires a proactive and detail-oriented individual who can assist with special projects, maintain various departmental application systems (such as certification, contracts, and employee appraisal systems), and support the compilation of local, state, and federal reports. The role also involves providing administrative assistance during HR events, training sessions, committee meetings, and negotiations, as well as covering reception duties and assuming responsibilities for departmental secretarial support when needed. Candidates for this position should possess a high school diploma or equivalent, although a bachelor’s degree is preferred. Applicants should have between three to five years of experience as an Executive Assistant or Administrative Assistant, preferably with a background in human resources. Proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel, is required. A valid State of Hawaii driver’s license (Class 3) or a comparable license is mandatory due to some job duties involving transportation and off-site coordination.
