The Executive Meeting Manager role at Highgate Hotels is a critical position responsible for overseeing and coordinating group business after it has been booked by the sales department through to the successful completion of the event or function. This role is dedicated to maintaining profitable operations and ensuring high-quality products and service standards throughout every phase of event execution. Serving as a key liaison between clients and operational departments like catering, housekeeping, audio-visual, and food and beverage, the Executive Meeting Manager guarantees seamless communication and event success, while generating repeat business through exceptional service. The role also involves marketing innovative ideas to promote business growth, reducing employee turnover by fostering a positive work environment, maintaining revenue streams, and meeting or exceeding budgeted productivity goals. Additionally, the Executive Meeting Manager actively sells small events and group 'pop-up' functions, reinforcing the hotel's event and meeting offerings.
Among core responsibilities, the Executive Meeting Manager creates, reviews, and revises group rooming and VIP lists, crafts detailed weekly resumes for all groups and social events, manages existing client accounts with a focus on re-soliciting future business, and communicates effectively with on-site caterers and various hotel departments. The role requires presence on the event floor during group activities to assist staff and provide hands-on support, involvement in departmental and hotel-wide training initiatives, and planning special events in collaboration with the human resources team. By utilizing client feedback and participating in management programs, the Executive Meeting Manager is continually improving service quality and operational excellence. The position demands a thorough understanding of meeting room setups, sleeping accommodations, and hotel operational departments to ensure an all-encompassing approach to event management and client satisfaction. The Executive Meeting Manager is also responsible for monitoring contract execution, post-event billing, and facilitating one-off social events in the hotel's restaurant private dining rooms.
- At least 2 years of progressive hotel or related experience
- Four-year college degree or relevant education
- Proficient in MS Windows and Microsoft Office applications including Excel and PowerPoint
- Ability to coordinate multiple tasks and communicate effectively
- Strong organizational and client service skills
- Ability to work under pressure and problem-solve efficiently
