As a Special Events Coordinator at Arch Amenities Group, you will play a critical role in the success of various high-quality events including corporate meetings, social gatherings, fundraisers, and community engagements. This non-exempt position reports directly to the Hospitality Manager within the CRE/Residential department, emphasizing a hospitality-focused role with a strong wellness perspective. Your primary responsibility is to plan, organize, and execute events that deliver exceptional guest experiences from initial concept through completion. This entails managing logistics, coordinating vendors, communicating effectively with all stakeholders, and providing onsite event support. The role demands collaboration with internal teams to ensure event goals and brand standards are met while handling important details such as venue selection, catering, entertainment, audiovisual needs, and transportation arrangements.
In addition to event coordination and execution, the Special Events Coordinator is expected to oversee the event day operations personally, troubleshoot challenges in real time, and supervise staff, volunteers, and vendors to maintain a high standard of quality control. Maintaining proactive communication with vendors, clients, sponsors, and attendees is essential, including confirming contracts, negotiating pricing, and securing deliverables. The position also involves budgeting responsibilities such as tracking event expenses, adhering to financial limits, and supporting post-event analysis by gathering feedback, preparing recap reports, and identifying areas for improvement. Thorough record keeping and documentation underpin the effectiveness of the role.
This position requires a self-motivated individual with excellent organizational and multitasking capabilities, strong verbal and written communication skills, creative problem-solving abilities, and the capacity to work effectively under pressure. The ideal candidate holds a bachelor’s degree in Hospitality, Marketing, Communications, or a related field, with 2 to 4 years of relevant experience in event planning, hospitality, or project coordination. Familiarity with event management tools like Eventbrite, Cvent, or Monday.com is a valuable asset. The role may require flexibility for evening, weekend work, and travel as needed.
