The role of Event Concierge & Coordinator is designed to exceed the expectations of meeting planners and guests by providing attentive, detail-oriented service throughout the entire event experience. As the liaison between the hotel and meeting planners, the Event Concierge & Coordinator plays a crucial role in ensuring that each function room is prepared flawlessly, meeting the specific requirements set by the client. This includes double-checking all function rooms prior to event start times to guarantee the satisfaction of facilities and equipment. The coordinator remains available on the event floor, offering immediate responses to any client requests with a goal of resolving issues within 15 minutes.
In addition to logistics, this role also focuses on personalized service, anticipating and addressing both personal and practical needs of planners and guests to avoid potential pitfalls. The Event Concierge & Coordinator assists with administrative duties such as processing event leads, managing client accounts, and handling reports, working in coordination with Events and Sales Managers. Responsibilities extend to managing room blocks for groups, including coordinating rooming lists, monitoring reservations, confirming billing instructions, and collaborating with other departments like Front Office and Revenue Management to ensure operational efficiency.
Customer service excellence is paramount; the ideal candidate demonstrates strong communication skills, initiative, and the ability to manage time effectively under deadlines. The position includes tasks ranging from handling small requests such as getting scissors or doorstops to more involved service recovery efforts aimed at turning any negative experience into a positive one.
