The position open at The Old Globe is for a full-time Events Associate who will work primarily with the Philanthropy Team and the Events Director. This role is integral to the planning, coordination, and successful execution of a variety of events that support donor cultivation and stewardship as well as general institutional events. The types of events managed by the Events Associate range widely, from intimate donor gatherings of 15 people to large-scale celebrations with over 200 attendees, including the prestigious annual Globe Gala. Other events include opening night celebrations, sponsor receptions and dinners, and special occasions supported by various departments within the organization. The role involves significant interaction with multiple teams in the organization, including Artistic and Production Departments, to ensure smooth event operations and the successful presentation of entertainment and staging needs. The Events Associate will be responsible for multiple facets of event management such as designing event experiences, developing and adhering to budgets, managing vendor relationships, and ensuring smooth operational logistics on event days. They will also be trusted with administrative functions like managing RSVPs, attendance tracking via the Globe’s Tessitura database, preparing signage and place cards, and maintaining detailed event files and inventories of supplies. The position requires a hands-on approach, including physical tasks like lifting and carrying up to 40 lbs, and availability to participate in on-site event preparation, implementation, and clean-up. This hourly paid role ranges from $25.00 to $27.00 per hour, contingent on experience, and offers benefits including 401(k) eligibility after the first year of employment. Candidates must be able to pass an applicable background check. The ideal candidate will bring at least two years of event planning and execution experience, preferably within complex non-profit or arts organizations. Experience related to stage management or arts administration may also be applicable as a substitute for event experience. Additional skills such as catering, bartending (with the necessary licenses and certification), and food handling are seen as pluses. A valid California driver’s license and proficiency with Microsoft Word and Excel are required.
