The role of Project Coordinator, Venues at Encore is a vital position within the event production team, focused on the meticulous planning and execution of small events or segments of larger-scale productions. Reporting to a designated Venue Operations lead such as a Director of Event Technology or Director of Operations, this role ensures the seamless and profitable delivery of events by adhering to Encore’s Production Process and Technical Standards. This position requires a balance of project management, client relationship skills, and technical expertise to successfully coordinate production labor schedules, sub-rental requirements, and overall event execution plans. As a Project Coordinator, Venues, you will play a crucial role in working closely with sales and operations teams to confirm event requirements, communicate event plans, and manage on-site changes dynamically. Your responsibilities will include preparing detailed production schedules and coordinating with crew leads, vendors, and venues to ensure all technical and logistical components meet client expectations. This role also entails operational duties such as equipment handling and mentoring team members to elevate the local expertise and experience within the market. In addition to event planning and execution, administrative tasks are integral to this position. These include assisting Venue Operations leaders with event tool analyses, processing post-event documentation such as timesheets and invoices, and identifying training opportunities for enhancing the skills of the onsite and regional workforce. The role demands a high level of organization, communication, and adaptability, as well as the ability to work under pressure while multitasking effectively. The working environment for this position varies between hotel or convention center venues and office settings, with exposure to different noise levels, weather elements, and operational conditions such as working at heights or with electrical components.
