The American Heart Association is currently seeking a skilled and energetic Event Planning Coordinator to join its team in Glen Allen, Virginia. This role is crucial in supporting the Central Virginia market’s fundraising campaigns and donor engagement events, which include high-profile events such as the Richmond Heart Ball, Hard Hats with Heart, the VIP Chef's Challenge, and special donor experiences like those within the Cor Vitae Society. This position is office-based with hybrid work flexibility and involves some regional travel including overnight stays. It requires a dynamic, detail-oriented event professional who thrives in fast-paced environments and is passionate about creating memorable experiences that directly contribute to the Association’s mission of saving lives.
As an Event Planning Coordinator, you will be central to planning and executing major fundraising and donor events, working alongside internal teams, vendors, and volunteers to ensure every aspect of event logistics is meticulously handled. Your responsibilities will cover event data management, financial tracking, payment processing, and real-time event support, providing on-site leadership during setups, execution, and teardowns. The role demands excellent organizational skills and the ability to juggle multiple priorities while maintaining a customer-service mindset and collaborative communication style. The position is non-exempt, with a 37.5-hour workweek, and the hourly pay range is $22.00 to $27.00, commensurate with experience.

                - High school diploma or equivalent
 - Minimum 3 years experience in event management, project coordination, or administrative support
 - Proficiency in Microsoft Office and Canva
 - Strong organizational and multitasking skills
 - Excellent communication and interpersonal skills
 - Ability to work flexible hours including occasional weekends and travel
 - Access to reliable transportation
 - Ability to lift and/or move large objects with assistance
