The Event Coordinator position at the Thompson Alumni Center serves as a pivotal role responsible for overseeing the full event lifecycle, from the initial inquiry stage through to post-event follow-up. This position acts as the primary contact for clients, guiding them with expert advice and personalized service to ensure their event goals are met seamlessly. The coordinator is tasked with supervising the reception area and supporting the Event & Facilities Services Manager to handle all event logistics including room setups, catering with the exclusive provider, audiovisual requirements, rental equipment, and client site tours.
Beyond coordination, the Event Coordinator manages essential administrative duties such as scheduling, contract preparation, deposit processing, billing and invoicing, and maintaining comprehensive event records. The role requires generating detailed reports and communicating event setup specifications to the facility staff to ensure flawless execution. Collaboration with university departments, corporate entities, nonprofit organizations, wedding planners, social coordinators, and external vendors is key in delivering smooth and professional event experiences.

- Associate's degree in hospitality, event management, communications, business administration, or related field
- Two years of professional experience in event coordination, hospitality, customer service, or office administration with demonstrated experience in bookkeeping or financial transaction processing
