The Event Coordinator (EC) role at Freeman is integral to supporting a dynamic and creative events team in planning and executing B2B and B2C corporate events that vary in size and scope. This position offers a hybrid work schedule, typically requiring 2-3 days per week in the office or onsite at event locations, with positions available in Philadelphia, PA and Detroit, MI. The EC will work closely with project teams, lead producers, and account directors to manage the detailed logistics involved in all phases of event coordination from conception through to execution. The role demands strong organizational skills, proficiency with multiple software platforms, and a positive, results-oriented attitude.
The Event Coordinator will assist in all aspects of event logistics including sourcing and managing decor, furniture, and transportation. The role also involves developing graphics matrices, staffing procurement and management, and providing food and beverage support. Maintaining accurate documents such as project timelines, meeting notes, contracts, budgets, and checklists in platforms like Google Drive and Egnyte is crucial for success in this position. The EC will coordinate with third-party vendors and ensure they are briefed and managed effectively for smooth event execution. Financial aspects such as budget support and vendor database management are also part of the responsibilities.
This role requires a professional who can thrive in a fast-paced, high-growth environment with strong communication skills and a collaborative mindset. The EC will contribute to fostering a positive team environment by supporting both internal communication and client-facing relationships. The position involves some travel up to 25%, which may include evenings, weekends, and holidays, depending on the event schedule. - Bachelor's degree or equivalent experience
- Background in event coordination or similar preferably 2+ years of experience
- Must be self-motivated highly organized and articulate
- Willingness to travel including potential evening weekend and holiday work
- Excellent computer skills comfortable with Google platform Microsoft and Apple applications Microsoft Office suite Slack and Google chat and collaborative team project softwares
