The Meeting & Education Coordinator position is based at USF Health Downtown Campus, which includes key facilities such as the Morsani College of Medicine, Heart Institute, and the Center for Advanced Medical Learning and Simulation (CAMLS). This role is critical in managing and executing a wide range of activities and events at these prestigious medical facilities. The coordinator is tasked with delivering exceptional customer service, fostering strong and enduring client relationships while ensuring seamless coordination of all event-related logistics. The position operates at the intersection of healthcare education and event management, demanding a high level of organizational skills, attention to detail, and the ability to collaborate effectively with various internal and external stakeholders. In this role, the coordinator assists clients with planning, developing, and implementing activities at CAMLS, working closely with marketing teams and vendors to meet client needs and expectations. The coordinator handles all onsite event arrangements, including audiovisual setups, room configurations, catering services, vendor schedules, housekeeping, and shipping and receiving logistics. Effective communication with internal stakeholders ensures all departments are aligned for successful event execution. The position also requires maintenance of Salesforce activity accounts to capture and provide comprehensive logistical information throughout the event lifecycle, from planning through final invoicing. Financial management is a key responsibility, with the coordinator overseeing all financial aspects related to activities, tracking expenses, managing vendor invoices, and utilizing digital management systems such as Delphi, QuickBase, and WFRn for activity reconciliation. Administratively, the role involves enforcing policies related to tissue and animal utilization, maintaining organized electronic event files, and facilitating agreements between CAMLS and clients, including hotel contracts and detailed course budgets. The coordinator also supports conference planning, promotional material development, grant solicitation and reconciliation, and exhibitor maintenance. This position requires a bachelor’s degree in communication, marketing, public relations, hospitality management, business management, digital media, or a related field along with two years of relevant experience, or a master’s degree in the same fields, or an equivalent combination of education and experience. Experience with USF HPCC CAMLS policies and procedures and familiarity with digital management systems like Delphi, Salesforce, QuickBase, and WFR are preferred.   • Bachelor’s degree in communication, marketing, public relations, hospitality management, business management, digital media, or related field
