The Private Events Coordinator position at Columbus Botanical Garden is a vital role within the garden’s events team, focused on managing private event rentals from inception to completion. This full-time role involves sales, coordination, marketing, and execution of private events such as weddings, corporate gatherings, receptions, and other special occasions hosted on the garden premises. The ideal candidate is highly organized, service-oriented, and sales-driven, with a passion for delivering exceptional guest experiences that align with the garden’s mission. The coordinator collaborates extensively with internal departments such as Education, Visitor Services, and Development, as well as external vendors including caterers, rental providers, and photographers, to ensure seamless event execution.
In this role, the Private Events Coordinator manages every stage of the private event lifecycle including proposals, contracts, invoicing, scheduling, and compliance. They also maintain accurate client records in the CRM system and contribute to increased rental income through strategic marketing campaigns, digital content, and market research. An important aspect of this position involves budget monitoring, expense tracking, and supporting department revenue targets, demonstrating financial acumen alongside operational skills. The coordinator oversees the preparation and upkeep of event spaces such as the Adams Farmhouse, ensuring the venue meets high standards for presentation and guest satisfaction.
