The Clinic Receptionist role at Independence Gastroenterology Associates is a vital front-line position responsible for multiple key administrative and patient-facing tasks in a fast-paced clinical environment. Reporting directly to the Front Office Supervisor, the Clinic Receptionist operates a Voice over IP (VOIP) digital telephone system, efficiently managing multiple incoming calls and routing them appropriately while providing routine information to patients and the public. This role involves greeting patients warmly, verifying and updating patient demographics and insurance information, scheduling appointments using specialized medical scheduling software (gGastro), and maintaining accurate patient charts. The Clinic Receptionist is tasked with collecting payments, obtaining necessary electronic signatures for HIPAA compliance, Medicare, and Release of Information forms, and managing appointment confirmations, cancellations, and no-shows.
This role demands excellent organizational skills, proficiency in computer programs such as Microsoft Office, Phreesia, EPIC, and the ability to handle multi-line phone systems effectively. The Clinic Receptionist must demonstrate empathy and professionalism, creating positive first impressions as the initial point of contact both in person and via telephone. Maintaining confidentiality and respecting patient privacy is paramount, as is adherence to clinic policies regarding security and confidentiality. The receptionist also supports the operational function by managing supplies requests, maintaining cleanliness in the waiting and staff areas, and promptly reporting any technology malfunctions to the IT department. The ideal candidate will be adaptable, able to handle competing demands and changes with a calm and efficient approach, contributing to a seamless patient experience and supporting the overall efficiency of the healthcare team.
