The role of Reservations Assistant Manager at Ocean House Management is crucial in maintaining the company's high standards of guest service. This position is responsible for managing the Reservations team, ensuring exceptional service levels in handling incoming calls that cover overnight reservations, dining and spa bookings, and general inquiries. The Assistant Manager acts as a liaison between clients, group sales managers, and operations teams, overseeing the accuracy and timeliness of group rooming lists and coordinating with various departments.
The Reservations Assistant Manager also plays an integral role in creating and implementing reservation policies, monitoring systems for accuracy, analyzing booking data for trends and improvements, and training reservation agents. Collaboration with other departments is essential to ensure guest satisfaction and seamless service delivery. This role demands proficiency in company operating systems such as Maestro, Navis, OpenTable, ALICE, Teams, and Fare Harbor software.
The work schedule for this non-exempt managerial position involves a fixed weekly salary for up to 40 hours, with additional compensation for overtime. Shift scheduling requires manager approval. Key responsibilities include answering calls with a 5-star attitude, managing the group rooming list process, operational oversight of the OpenTable dining program, learning property amenities, and participating in monthly trainings for professional growth. Administrative duties constitute about 20 percent of the role and include team performance management, scheduling, staff training and development, inventory management, conducting pre-shift meetings, completing reports and payroll, supervising staff performance, and handling guest complaints promptly. - High school diploma, GED or comparable certification
- Experience in call center or administrative role preferred
- Experience in guest-facing service role preferred
- Luxury hospitality experience preferred
- Ability to operate Microsoft Office programs such as Word, Excel, and Outlook
- Fluency in English both verbally and in writing
- Ability to perform job functions with attention to detail, speed, and accuracy under pressure
