The Bureau of Education Services & Technology is currently recruiting a part-time Administrative and Program Associate to join their team on a 28-hour per week basis. This role is designed to provide complex administrative and program-related support primarily to the Bureau Director. The position offers flexibility with the possibility of remote work up to four days per week, contingent on access to a private workspace and secure high-speed internet connection. Headquartered at Central Office in Madison, the role requires occasional travel and overnight stays for training and conferences.
As an Administrative and Program Associate, you will play an integral role in supporting various bureau initiatives including nurse aide training programs, corporate guardianship program administration, and education services section activities. Your responsibilities will include coordinating internal new hire trainings and assisting the Bureau Director in managing and facilitating important workgroups and event planning committees. These committees include the DQA Inclusion, Diversity, Equity and Access Workgroup, and internal and external event planning for staff meetings and forums.
Additional duties involve coordinating the Civil Money Penalty Redistribution Program, rotating as the DQA phone receptionist, and managing office supplies for central and regional offices. Communication is a vital part of the role, requiring interaction with public officials, legislators, media, department executives, and provider communities. - Experience providing customer service such as establishing and maintaining effective working relationships with internal and external customers and responding to requests and questions
- Experience using Microsoft suite applications including Outlook, Excel, Word and Teams
- Experience researching questions or issues and providing detailed, complicated information in an understandable manner to others
- Experience providing administrative support to a regulatory agency, training or grant program
- Experience reviewing or communicating about legislation, statutes, and administrative codes or processes
- Experience coordinating meetings or training events such as creating agendas, taking minutes, maintaining committee to-do lists, coordinating with venues and catering organizations
- Experience creating, hosting and facilitating Teams channels to organize team projects and organizational tracking
