The available role is for a bilingual (English-Spanish) part-time Administrative Assistant/Secretary. This position plays a crucial support role within the parish office, responsible for a variety of secretarial and clerical duties essential to the smooth operation of parish activities. The ideal candidate will bring strong organizational skills, discretion, and the ability to manage sensitive information with confidentiality and respect. The role requires the individual to be on-site in Malden, working closely with the Pastor, Administrator, Pastoral Associates, and Business Manager. This position is instrumental in managing communication flow, maintaining parish records, scheduling church events, and supporting the overall administrative needs of the parish. In this role, the Administrative Assistant/Secretary will act as the parish receptionist, greeting visitors, answering phones, and responding to routine inquiries, while redirecting complex matters to appropriate parish staff. The candidate will handle the scheduling of parish events such as anniversary Masses and maintain orderly processing of correspondence, bulletins, and bulk mailings. Proper recordkeeping is paramount, including maintaining sacramental registers, parishioner data, and volunteer documentation in accordance with diocesan guidelines. Candidates must have at least an associate or bachelor’s degree, with 3-5 years of administrative experience in an office setting. Proficiency in Microsoft Office applications and baseline computer hardware knowledge are essential. The successful applicant will be able to multitask effectively in a dynamic environment and handle confidential and sensitive matters with sound judgment and tact. A strong service orientation and commitment to the Roman Catholic Church’s mission and vision are vital, along with being a practicing Catholic in good standing.
