The Recreation & Event Center Coordinator plays a critical role in the day-to-day operations of the Battle Ground Event Center by performing administrative and office duties vital to the smooth management of facility rentals and public engagement. This full-time position typically operates on a Monday to Thursday schedule from 8:30 AM to 2:00 PM, with occasional requirements to work evenings and weekends to support specific event needs, reflecting flexibility and commitment.
As a central figure in the Event Center’s operations, the Coordinator is responsible for receiving and processing facility reservations, maintaining usage schedules, and ensuring compliance with rental agreements including insurance and special conditions. They act as the primary point of contact for rental groups, guiding them through the room layout options, event setup, and overall planning process, ensuring a seamless event experience for all clients.
Additionally, the Coordinator manages the Event Manager System, controlling event calendars and logistics, and provides facility tours to prospective renters, helping to promote the center’s services. They assist with billing procedures including issuing quotes, invoices, and collecting payments, thus playing a vital role in the financial aspects of facility management.
The position demands proficiency in clerical duties such as filing, record keeping, data entry, report preparation, and the operation of office technology. Familiarity with Microsoft Office and electronic event management tools is essential to facilitate efficient administrative support. The Coordinator also plays a supportive role in training temporary customer service staff, contributing to a knowledgeable and effective team.
A successful Coordinator must demonstrate strong interpersonal skills, patience, professionalism, and the ability to adapt to diverse customer needs and communication styles. This position requires a high school diploma or G.E.D., with at least two years of experience in customer service or administrative support, ideally in a rental or recreation environment. Candidates must be 18 years or older, possess a valid driver's license, and be willing or able to obtain First Aid/CPR certification within six months of employment. The role also entails physical capabilities such as lifting up to 40 pounds and moving equipment necessary for event setup and office maintenance.
