The role of Accounts Payable and Receptionist at Hooper is integral to the smooth function of the company’s corporate administration and communication operations. This position involves entering invoice data for accounts payable while also serving as the friendly and professional first point of contact for all visitors and phone inquiries. The Accounts Payable and Receptionist is responsible for managing the multi-line automated phone system, greeting visitors warmly, sorting and distributing incoming mail, and maintaining office equipment such as fax machines, copiers, and postage meters. In addition, this role requires supporting various departments through data entry, scheduling assistance, and organizing important paperwork for corporate personnel. The position demands a high level of organizational skills, attention to detail, and the ability to multitask effectively in a dynamic office setting.
Candidates for this position should be comfortable managing a high volume of incoming phone calls—over 200 extensions—and handling mail for a large office staff of around 130 employees. The ability to operate and monitor office machinery competently and maintain the neatness and orderliness of reception and mailroom areas is essential. This role also involves updating company phone directories, assisting employment inquiry visitors, and performing various special projects as assigned by management. The physical environment is a typical office setting where repetitive typing and computer use are required, along with occasional bending, twisting, and light lifting.
