We are currently seeking a motivated and client-focused Front Desk Receptionist to join our Charlotte office on a full-time basis. This role is essential as the first point of contact for clients, visitors, and callers, playing a key part in establishing a positive, professional, and compassionate atmosphere within our office. Scheduled Monday through Friday from 8:30 AM to 5:30 PM, this position requires a professional demeanor and genuine passion for helping others. The Front Desk Receptionist not only manages incoming communication and client interactions but also supports the smooth operation of daily office tasks, ensuring an efficient and organized environment. As a Front Desk Receptionist at Speaks Law Firm, you will greet clients and visitors warmly, provide assistance with scheduling appointments, and operate a multi-line phone system to handle inquiries with discretion and accuracy. You will also be responsible for directing mail, faxes, and deliveries promptly while maintaining the cleanliness and welcoming state of public spaces such as the lobby, meeting rooms, and break areas. Preparing meeting rooms, arranging documents and refreshments, and offering administrative support like copying, scanning, faxing, emailing, and note-taking are integral parts of the role. The position also involves coordinating with internal staff for client check executions and releases and providing notary services when necessary. Effective communication with clients, attorneys, and legal staff is paramount to create clarity and comfort for all visitors. This role requires strong organizational skills, attention to detail, and a professional appearance, ensuring that every client interaction reflects the firm’s commitment to excellence.
