The Executive & Board Liaison position at Filoli is a pivotal role designed to provide comprehensive executive-level administrative support while serving as a vital link between the CEO, Executive Team, and Board of Directors. Reporting directly to the Chief of Staff, this full-time role offers a flexible schedule within an office situated in a stunning historic house, with an annual salary ranging from $86,000 to $100,000 depending on experience. The ideal candidate will be highly organized, discreet, and proactive, capable of managing complex scheduling, sensitive communications, and strategic documentation essential to the smooth operation of the leadership team.
As the operational partner to the Chief of Staff, the Executive & Board Liaison plays a strategic role in ensuring effective communication flow and alignment across Filoli's top leadership bodies. This role requires a unique blend of skills including meticulous board governance, executive support, and project management. The liaison is responsible for managing the CEO’s calendar, preparing detailed briefing materials for executive engagements, and handling all logistical details such as travel and expense reporting. In supporting the Board of Directors, this role coordinates all board inquiries and meeting logistics, drafts accurate meeting minutes that reflect organizational decisions, manages governance records through CRM tools, and partners with the Development team to provide high-level concierge services for board members.
Furthermore, the position includes institutional administrative responsibilities such as conducting research on governance best practices, managing compliance calendars, and overseeing trademark documentation and renewals. The Executive & Board Liaison must possess excellent judgment and the ability to maintain confidentiality when dealing with sensitive information. This role is ideal for someone who thrives in a dynamic, entrepreneurial environment and excels at balancing multiple priorities with a high level of professionalism and discretion. To be successful, the candidate should have at least five years of experience providing high-level administrative support to C-suite executives and supporting board activities, strong organizational and communication skills, and advanced proficiency in digital office tools. A Bachelor’s degree or equivalent experience is preferred alongside a valid Driver’s License.
