The Events Specialist role at Visit Indy is a temporary part-time position, active from November 2025 through April 2026, designed to support the organization’s mission of driving future convention business through the conception, planning, budgeting, and creative execution of special events. These events target key meeting decision makers, helping to highlight Indianapolis as an ideal host city for large-scale conventions and meetings. Furthermore, the role involves planning and executing local events that promote the power of tourism and emphasize the importance of the industry in securing long-term community support and funding.
This position plays a crucial role in assisting with a variety of event types including key stakeholder events, sales missions in major markets such as Chicago and Washington DC, industry trade shows like PCMA, ASAE, IMEX, and Holiday Showcase, and customer familiarization trips (FAMs) tied to major sports and cultural events such as the Big Ten Women’s Basketball Tournament, NCAA Men’s Final Four, and the Indianapolis 500 weekend. By helping to manage creative development, logistics, budgeting, and vendor negotiations, the Events Specialist ensures seamless execution and impactful event experiences. 
The role demands an individual with strong communication skills and a detail-oriented approach capable of managing multiple projects in a fast-paced environment. It also requires the capacity to collaborate effectively with various stakeholders including customers, vendors, employees, and partners, ensuring alignment with Visit Indy’s brand and strategic objectives. Proficiency with Microsoft Office tools and a strong customer service focus are essential. The position also calls for flexibility in work hours, with some events requiring availability during evenings, weekends, or holidays.

                - Bachelor's degree or equivalent experience in communications, public relations, or marketing preferred
 - Minimum of one year of experience in communication or marketing preferred
 - Experience in destination marketing and knowledge of Indianapolis highly desirable
 - Ability to write reports, correspondence, and business communications
 - Excellent customer service and interpersonal skills
 - Strong problem-solving and critical thinking abilities
 - Proficient computer skills including Microsoft Office
 - Ability to handle multiple tasks and work in a fast-paced environment
 - Ability to work non-routine hours including evenings, weekends, and holidays when necessary
