The role of Event Concierge and Coordinator is designed to exceed the expectations of meeting planners and guests by focusing on impeccable service delivery and seamless event execution. This is a full-time hourly position compensated at $30.00 per hour, providing a rewarding career opportunity for individuals passionate about hospitality and event coordination. The primary duty of the Event Concierge and Coordinator is to act as a diligent liaison between the hotel and the meeting planners, ensuring that all function rooms are meticulously reviewed prior to event start times to meet client specifications flawlessly. This role involves being highly accessible on the event floor, responding promptly to requests within five minutes and resolving issues within fifteen minutes, thereby maintaining a high standard of operational efficiency.
Beyond managing the logistical aspects of events, the Event Concierge and Coordinator monitors and anticipates the personal and practical needs of the planners and guests throughout their stay. This involves coordinating administrative duties such as processing event leads, handling customer interactions, account management, and compiling detailed reports necessary for successful event execution. Acting as the primary point of contact for rooms-only groups once contracts are signed, the coordinator manages group block servicing, including rooming list coordination, reservation updates, special requests, and ensuring billing accuracy.
This role demands proactive collaboration with various hotel departments such as Front Office and Revenue Management to optimize room inventory and block utilization. The Event Concierge and Coordinator is also responsible for service recovery by turning potentially negative experiences into positive ones before guests depart, delivering a reassuring presence and ensuring satisfaction at every touchpoint. Additionally, they assist in special projects as time permits and are entrusted with providing personalized touches such as retrieving guests' items or arranging particular needs like coffee service for planners.
