The Event Concierge & Coordinator plays a crucial role as the liaison between the hotel and the meeting planners, operating as the eyes, ears, and hands on the ground to guarantee that all function rooms meet client specifications before events commence. This role involves double-checking facilities and equipment, ensuring that every detail aligns perfectly with the client's needs. The cornerstone of this position is immediacy and responsiveness—answering all guest requests within five minutes and resolving issues within fifteen minutes to maintain flawless event experiences.
Acting as the constant presence on the floor, the Event Concierge & Coordinator anticipates and addresses the personal and practical needs of planners and guests alike. From tracking down lost boxes to supplying essential items such as scissors or doorstops, and even delivering a meeting planner's first cup of coffee, this role embodies proactive hospitality. The successful candidate will demonstrate exceptional customer service skills, keen initiative, excellent time management, and the ability to juggle multiple demands and deadlines efficiently.
Administrative support forms an integral part of the job, assisting Events and Sales Managers with processing event leads, customer account management, follow-up communications, and report preparations. The Event Concierge & Coordinator will also coordinate closely with other departments to ensure smooth event execution from start to finish, exemplifying teamwork and excellent communication.
Additional responsibilities include managing all aspects of group block servicing for rooms-only groups. This task involves coordinating rooming lists, monitoring reservation updates, handling special requests, and keeping track of cutoff dates. Preparing and distributing group resumes and room block reports to relevant departments fosters operational alignment across the hotel. Ensuring rate accuracy, billing instructions, and payment methods are confirmed prior to guest arrivals is essential to the role.
Proactive communication with group contacts, troubleshooting issues as they arise, and maintaining guest satisfaction throughout the booking lifecycle are core duties. Collaborating with the Front Office and Revenue Management teams ensures inventory control and optimizes block utilization. Supporting sales managers with contract transitions and post-stay follow-ups further highlights the versatility and customer-centric approach required in this role.
