The Conference and Event Services department is seeking to hire a dedicated Event Coordinator to join their team on a full-time basis. This position offers an annual salary range of $40,000 to $50,000 and is classified under staff roles with benefits eligibility. Working primarily from Monday to Friday from 8:00 a.m. to 4:30 p.m., the role also requires flexibility to work early mornings, evenings, weekends, and occasional travel beyond normal work schedules. The Event Coordinator will be responsible for managing the entire event lifecycle, including scheduling, coordinating with various campus departments, providing customer support, and ensuring smooth execution of events. This role requires strong interpersonal, organizational, and communication skills alongside proficiency with standard computer applications including Microsoft Suite.
As an essential liaison, the Event Coordinator will interact with university faculty, staff, students, external clients, and VIPs to guarantee exceptional event experiences. Duties include processing reservation requests in the Event Management System (EMS), troubleshooting system issues, preparing banquet event orders, managing client communications, and assisting with vendor coordination. The position also involves oversight of the summer conference housing program in collaboration with Housing and Residence Life, managing room assignments, catering, transportation, and staffing to support successful events. This position supervises student workers and graduate assistants, making leadership and mentoring additional key components of the role.
The ideal candidate will have a bachelor’s degree in a relevant field with two to five years of event management or scheduling experience within a corporate hospitality setting, university environment, or a comparable area. The working conditions involve regular use of hands, sitting, walking, occasional lifting, and the ability to communicate effectively with diverse stakeholders.
