The role of Executive Administrative Assistant under the supervision of the Office Manager/Executive Administrative Assistant is a vital position responsible for ensuring smooth and efficient operations within the Administration Office. This full-time, day shift position, located at 2201 S Clear Creek Rd, Killeen, TX 76549, requires a proactive individual to manage various administrative and clerical functions. The successful candidate will serve as a central point of contact for the executive team by establishing and maintaining professional relationships with customers, vendors, and internal departments. They will be expected to handle phone calls, manage mail distribution, organize meetings, and communicate across departments in a fast-paced environment. Their role significantly supports the administrative efficiency of the executive leadership and contributes to the overall operational effectiveness of the Administration Office.
The Executive Administrative Assistant will perform detailed clerical tasks that include composing and typing official correspondence, preparing meeting agendas, assembling necessary packets, taking and transcribing meeting minutes, proofreading documents, and maintaining an organized calendar for executives. Additionally, this individual will be responsible for overseeing mail and fax distribution, greeting visitors and staff with professionalism, and ensuring the office supply inventory is maintained. They may also participate in event planning and preparation of presentations, reinforcing the smooth communication and operation of administrative activities.
