The role of Front Office/Receptionist at this healthcare facility is a non-licensed, entry-level position requiring completion of an on-the-job training program. The Receptionist functions as the first point of contact for patients and visitors and performs vital office-related duties that keep the administrative operations running smoothly. This role requires strong organizational skills, excellent interpersonal communication, and the ability to multitask efficiently under pressure. The Receptionist is responsible not only for general clerical tasks such as answering phones, filing, and taking messages but also plays a key role in managing patient appointments, medical records, and billing-related functions.
In this role, the Receptionist coordinates patient scheduling, ensuring appointments are set promptly and accurately according to prescriptions and insurance requirements. They maintain detailed patient medical records, including tracking 30-day re-evaluations and Medicare re-certifications, which are crucial for regulatory compliance and patient care continuity. Daily patient charges are recorded and assistance is provided for deposit handling. The Receptionist also supports billing by tracking and collecting patient deductibles and co-payments.
Beyond administrative tasks, the Receptionist acts as a liaison between patients, clinical staff, and insurance providers. This includes verifying insurance coverage, handling precertifications for rehabilitation services, and managing workman’s compensation authorizations when applicable. Excellent judgment, respect for authority, and the ability to work with individuals of all ages are vital. Confidentiality is paramount, as the Receptionist handles sensitive medical records.
This position reports to both the Office Manager and the Clinical Director, reflecting its integral role in the smooth operation of the facility.
