This particular opportunity at the University of Miami is for a Senior Program Coordinator within the assigned department, typically involved in the oversight and successful execution of a variety of events such as meetings, conferences, workshops, seminars, lectures, and other special gatherings. The Senior Program Coordinator plays an integral role in ensuring that all logistical components of these events are handled meticulously, from initial planning stages through to final delivery. The position comes with the responsibility of ensuring participants’ needs are met, budgets adhered to, and event processes run smoothly without conflicts. This role demands interaction with vendors, coordination with internal and external stakeholders, and management of facility use, revenues, and expenses related to the events. This full-time staff position falls under the pay grade A6. The Senior Program Coordinator will collaborate closely with the executive director and management to develop event strategies, manage timelines, and oversee budgets. The person in this role will be required to coordinate accommodations, transportation, audiovisual equipment, catering, signage, parking, and volunteer efforts among others. This includes supervising event registrations and serving as a key contact point for all internal and external space reservations. The position also involves administrative responsibilities including maintaining records of facility use, revenue and expense reports, as well as using software tools like Social Tables and Workday Finance for registration and purchase order monitoring. Apart from planning and coordinating, the role requires active engagement in social media postings about events and the handling of communications with vendors and clients. The Senior Program Coordinator may also need to assist with logistics and execution of executive education and other programs and events hosted at the university. They must be flexible to support evening and weekend events as necessary. The ideal candidate will possess a Bachelor’s degree in a relevant field and have at least two years of relevant experience, demonstrating strong communication skills both oral and written, professionalism under pressure, interpersonal effectiveness, and the ability to follow instructions carefully.
