The Sales and Facility Specialist plays a vital role in this ecosystem by managing and leading the operational and logistical functions of BGSU Firelands Events Management activities. This is a dynamic role that blends project management, client relationship building, logistical coordination, and facility oversight to ensure personalized, seamless event experiences. The role involves acting as the primary project manager for external clients to fulfill their unique event needs, which includes processing room reservations, managing contracts, coordinating catering services, and overseeing audiovisual setup and troubleshooting. 
Additionally, this position is responsible for submitting facility service and maintenance requests for event spaces while monitoring and scheduling all internal and external events across campus. As a liaison, the Sales and Facility Specialist interfaces with multiple departments to streamline processes related to external registrations, budget management, cost analysis, customer service, and technical support for instructors and presenters. Ensuring that every event space is utilized optimally and that top-notch, detailed, and personalized customer service is delivered to every group forms the core of this position's responsibilities.
The job requires effective communication skills across various channels, including in-person, phone, email, and text, with clients and guests throughout the event scheduling, setup, and onsite service delivery phases. The Specialist must maintain accurate records in event management systems, such as R25 for space reservations and Outlook for scheduling, while also promoting and selling event and meeting spaces through targeted marketing and client relationship development. 
In addition to client-facing duties, the role occasionally requires hands-on custodial support, shopping for event supplies, managing catering payments and documentation, supervising and training student employees who assist with event management activities, and coordinating with campus security and facilities management for events held during non-standard hours. This comprehensive role demands flexibility, problem-solving skills under pressure, and a proactive approach to managing multiple priorities in a fast-paced environment. The position requires a minimum of an associate degree, event planning experience, supervisory skills, and certifications such as Food ServSafe, which may be obtained within six months of hire.
