The Fellowship Program Coordinator role within Stony Brook Internists is a full-time position based in Stony Brook, NY, with working hours from Monday to Friday, 8:30 AM to 5:00 PM. The salary range for this position is $25.27 to $31.58 per hour, reflective of the candidate's experience, education, and the current market standards. This role primarily serves to provide comprehensive administrative and secretarial support to both the clinical physicians and the Fellowship Program Director, ensuring smooth operation of the Fellowship Program and related processes. As the Fellowship Program Coordinator, the individual will play a crucial role in the coordination and management of administrative tasks associated with the fellowship and residency programs. Responsibilities include preparing and distributing correspondence, managing requisitions and invoicing, and maintaining vital records such as attendance for department staff, physicians, and fellows. The coordinator acts as an essential liaison between the department and outside departments like Purchasing, Accounts Payable, and CPMP, reinforcing the administrative backbone of the clinical practice. An important aspect of this job involves direct engagement with the fellowship program, including maintaining fellowship application information, coordinating the application review process, and updating databases such as New Innovations to track procedure logs, duty hours, schedules, evaluations, and compliance. The coordinator will prepare necessary documentation for the Medical Staff and Medical School Dean’s office for fellows’ appointments and re-appointments and assist program directors with accreditation reviews. The role further supports communication with affiliate hospital staff, coordinates medical student rotations with Academic Affairs, and participates in monthly Graduate Medical Education (GME) meetings and Resident Review Committee sessions. Meeting participation often includes taking detailed minutes. Handling onboarding processes for new residents, managing timekeeping systems such as KRONOS, and maintaining ongoing certifications for fellows and residents are also crucial parts of the position. In addition to administrative responsibilities, the Fellowship Program Coordinator participates in event planning, manages financial reports and grants, and handles website content in liaison with the Chairman’s office. They are also responsible for maintaining divisional newsletters and alumni databases, processing human resource documentation related to fellows’ hiring, transfers, and terminations, and providing comprehensive support for fellowship and residency programs including arrangement of meetings, advertisement notices, exams, program reviews, and site visits.
