The Phillip and Patricia Frost Museum of Science is currently seeking a dedicated and highly organized full-time Event Operations Coordinator to join its Guest Experience team. Reporting directly to the Director of Event Sales and Operations, this P2/4 level role is primarily responsible for coordinating the logistics of events hosted at the museum and acting as a critical liaison between the Sales Department, clients, and various internal departments. The role requires someone who is detail-oriented and adept at managing multiple tasks to ensure the flawless execution of events ranging from small meetings to large-scale functions.
The Event Operations Coordinator plays an integral part in the overall event planning process. This includes preparing Banquet Event Orders (BEOs), coordinating with vendors, conducting event room inspections, and maintaining consistent communication with all stakeholders involved. The successful candidate will ensure that events proceed smoothly and meet the high standards of the museum. Providing exceptional service to both internal colleagues and external clients is essential, requiring excellent communication skills, a professional demeanor, and a proactive approach to problem-solving.
In addition to logistics coordination, the Event Operations Coordinator will support the Director of Event Sales and Operations and the Event Operations Manager in managing the institutional event calendar and responding promptly to inquiries. This role demands flexibility, including availability to work evenings, weekends, and holidays as event schedules require. Physical demands include the ability to stand and move around the event spaces extensively and manage setup requirements.
