The Administrative Assistant position within the Career Center is a full-time, permanent role reporting directly to the Office Manager. This position is critical for the day-to-day operations and provides frontline customer service support to students, alumni, parents, employers, faculty, staff, and the public. The Administrative Assistant manages essential administrative tasks such as opening and closing the office, answering the primary phone line, managing the email inbox, and processing daily financial transactions including cash, checks, and credit card deposits. Additional responsibilities include managing student check-ins for appointments, overseeing virtual and in-person drop-in hours, handling student account requests, and supporting internal operations such as taking minutes during staff meetings and updating digital signage with resources, events, and job opportunities. The role also involves assisting the Office Manager with tasks like purchase orders, travel arrangements, catering, room reservations, surplus property requests, and work order submissions. The Administrative Assistant supports scheduling appointments for students and alumni, managing the Career Closet donations and inventory, and providing technical support related to the Handshake platform including navigation, troubleshooting, and account management.
